From Reaction to Response – a smarter approach!

We are often put on the spot, having to formulate a quick answer and provide feedback. While preparing for an upcoming workshop on ‘Managing Difficult Conversations’ Smart Books founder, Leaine Jones, has been reflecting on the difference between responsiveness and reactivity.  In fast-paced environments, reacting quickly is often mistaken for effectiveness. Knee-jerk reactions can lead to missteps, missed opportunities, and unnecessary stress and upset.

We’ve all had that time we received an email and fired off a defensive response in the heat of the moment – often seriously damaging relationships and unnecessarily escalating situations. Taking a moment to analyse and understand the issue and other’s point of view can make all the difference!

Leaine sees the core element to being responsive rather than reactive as being able to PACE yourself.

P for Pause

Before responding, take a moment to breathe and assess the situation. Reactivity often stems from emotional triggers, leading to impulsive decisions. Pausing allows time to process, ask clarifying questions, and understand the bigger picture. Consider: What’s the core issue? What outcome are you aiming for? Who needs to be involved? 4 second breathings for one minute can be just the ticket – try it!

A for Assess

Gather relevant information and weigh your options. Not all situations require immediate action, and rushing in can create further complications. Assess the risks, benefits, and priorities before committing to a response. What are the facts? What resources do you have available? What’s the most strategic approach? Who can you get advice from? We recommend having a support team of trusted professionals to help guide you. Line them up!

C for Communicate

Clear, thoughtful communication prevents misunderstandings and ensures alignment. Being responsive means engaging proactively rather than defensively. Explain your perspective with confidence, listen actively, and remain open to discussion. Effective communication fosters understanding and builds trust, ensuring that interactions lead to productive outcomes rather than unnecessary friction. Build your listening skills, leave some gaps in the conversation to gather your thoughts – you’ll be surprised at the results!

E for Execute
Once you’ve paused, assessed, and communicated effectively, it’s time to take action. A responsive approach ensures that your decisions are thoughtful, measured, and aligned with the desired goal. Execution is where preparation meets purpose—where careful consideration transforms into meaningful action. Don’t procrastinate because you are worried about possible fallout – you’ll sleep better by taking thoughtful considered action – make sure you follow through.
